POSITION TITLE: Administrative Specialists
JOB LOCATION: Oak Ridge, TN
STATUS/HOURS: Hourly / Full-time
POSITION OVERVIEW:
The Administrative Specialist will provide services in various areas including administrative support roles, project and budget analysis, document controls, federal payroll data entry, travel vouchers processing, technical editing/writing, purchase requests processing, and invoice tracking.
DUTIES & RESPONSIBILITIES:
- The Administrative Specialist will be available from 0830 to 1700 Monday through Friday with exception to Federal Holidays.
- Professional administrative tasks for the OST Assistant Deputy Administrator (ADA) and OST Senior Managers located in Oak Ridge, Tennessee.
- Provide highly skilled administrative support to the AOEC Director and Federal Staff when available.
- Provide administrative support which includes but not limited to scheduling appointments, answering telephones, greeting visitors, preparing correspondence, scheduling meetings, processing mail, and distribution of documents, along with other general office routine administrative tasks such as gathering information, preparing routine file documentation, and preparation of recurring and non-recurring reports.
- Support inputting hours worked into appropriate DOE/NNSA/OST databases for federal staff and coordinating timesheet signatures as needed for Command Directors and OST Senior Managers in a backup role.
- The Administrative Specialist will support OST Human Reliability Program (HRP) in scheduling all HRP medical and psychological appointments, medical assessments, and act as the primary POC with health unit and other medical service providers.
- The Administrative Specialist will be responsible for maintain an accurate and up to date yearbook, recall roster, phone list, emergency contact list, and email listing.
- The Administrative Specialist will attend records management meetings and will assist in preparing fiscal year close out, including inventory checks and audits as needed.
- The Administrative Specialist will be responsible for the staff travel coordination and processing of travel vouchers and authorizations
COMPUTER KNOWLEDGE:
- Required – MS Office proficient, Outlook, Word, Excel, etc.

MINIMUM QUALIFICATIONS:
- High School Diploma or equivalent
- Two (2) years of relevant experience in the private/government sector
- Requires a DOE “Q” Access Authorization
