Job Title: Administrative Specialist

Department: Finance & Administration

Reports To: Senior Director of Finance & Administration

FLSA Status: Non-Exempt

Prepared Date: December 2023

Schedule: Part-time (25 hours/week), Monday-Friday. Weekly work schedule is flexible, will work to accommodate individual preferences and requirements whenever feasible.

Summary: With the training and support of management, the Administrative Specialist will perform duties related to the operations of the finance and human resources office under the direction of the Sr. Director of Finance & Administration.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Maintains filing systems for human resources and accounting.
  • Aids in coordinating, organizing, and maintaining various aspects of the employee benefits program.
  • Prepares employee payroll reports to assist with payroll processing.
  • Reconciles benefit invoices and prepares payment vouchers.
  • Posts journal entries to general ledger.
  • Prepares month-end reports for Sr. Director of Finance & Administration.
  • Supports departmental operations by overseeing administrative functions, including office supplies, coordinating meeting logistics, and other administrative tasks as assigned.
  • Ability to maintain confidential information.

Education and/or Experience

Associate’s degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Outlook, Excel, and Word; and the ability to learn new software quickly.

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
