Christian Medical & Dental Associations, the world’s largest faith-based organization of healthcare professionals, is seeking a full-time Administrative Specialist to work with our Global Health Outreach (GHO) ministry team. The successful candidate will provide excellent professional administrative support to the GHO ministry team.
PRIMARY RESPONSIBILITIES:
- Review, process and respond to email requests for the various scholarships offered for GHO trips.
- Maintain all scholarship accounts via Excel Spreadsheets and compile documentation for donor follow up.
- Create and email links to surveys for each GHO team and process responses as they are received.
- Prepare and mail post-trip thank-you letters to each team member upon completion of the trip.
- Prepare and maintain all items/products to be taken to conferences and meetings to promote GHO.
- Maintain post-trip statistics log and submit monthly report to the Director of GHO.
- Preparation of Continuing Education (CE) application forms, monitoring and submission for live events.
- Assist GHO Program Director with financial duties (AR - batches, receipts, charges/collections) when needed.
- Assist GHO Program Director to post trips on ServiceReef.
- Prepare monthly expense reports (Concur) for the GHO Director and GHO Program Coordinator.
- Provide GHO Director with information for the monthly and annual reports.
- Promptly answer telephone and email inquiries.
- Prepare and submit Concur financial reports for GHO Director and GHO Program Coordinator.
- Monitor GHO Projects email account.
- Assist, when needed, GHO Warehouse and Inventory Coordinator with picking and packing meds and supplies for various trips.
- Assist, when needed, GHO Travel Coordinator with airline reservations for GHO participants.
- Perform other duties as assigned and directed to the satisfaction of the supervisor.
MINIMUM QUALIFICATIONS:
- Character compatible with the purposes, practices and values of CMDA
- A heart for missions and service
- Advanced experience with Microsoft Office products; knowledge and use of Excel and database application programs
- Ability to compose and edit letters and other forms of written communication
- Advanced organizational skills and attention to details
- Ability to handle telephone inquiries in a professional and timely manner
- Ability to prepare letter and e-mail communications professionally and timely
- Ability to work independently
- Understanding of basic accounting procedures and ability to enter data accurately
- Ability to multitask and understand goals to meet ongoing deadlines
DESIRABLE EXPERIENCE:
- College level experience in office administration
- Accounting experience and/or college degree
