Job Summary:
The Bilingual Administrative Specialist is responsible for supporting the administrative functions of our programs, operations, and mission advancement work. This position involves welcoming and checking in customers, managing communications, and supporting various administrative and event-related tasks.
Job Responsibilities/Functions:
- Process new intake applications and referrals for The Store.
- Answer and respond to calls, including inquiries and intake.
- Welcome and check-in customers who come during shopping hours.
- Maintain confidentiality of customer, family, and staff information at all times.
- Perform general office duties including data maintenance, running reports, and mail merges.
- Enter, manipulate, and retrieve data for accurate reporting.
- Assist Program Director and Mission Advancement Director with administrative duties as assigned.
- Support program staff with coordination with clinics, providers, and community resources as requested.
- Manage correspondence with donors, including sending tax and thank-you letters.
- Assist in organizing mailing campaigns and distributing mailers.
- Prepare materials for Lunch and Learn events, including flyers, name tags, and interest forms.
- Coordinate logistics for Lunch and Learn events, including food pickup and event setup/breakdown.
- Provide support during fundraising events and post-event follow-ups.
- Assists with translation for Spanish-speaking customers.
- Other duties as assigned.
Qualifications:
- Bilingual (Spanish)
- Excellent computer skills
- Excellent customer service skills.
- Previous professional or volunteer work either in a nonprofit organization or in an administrative role.
Schedule: Tuesday-Saturday; onsite.
Physical Requirements:
• Ability to stand, sit, type, and view a computer screen for long periods.
• Ability to lift a maximum of 30 lbs
