Job Summary:
The Administrative Accounting Specialist provides essential support to our CEO and contributes to the smooth functioning of our organization. Duties include assisting with vendor relationships, creating presentation documents, and managing meeting schedules. This position will also be responsible for various financial tasks, including payroll administration, bill payment, benefits management, and other key responsibilities. Exceptional attention to detail, organizational skills, and proficiency in all Microsoft Office Applications and QuickBooks are essential for success in this role.
Responsibilities and Duties :

Payroll Administration_
- Accurately process and manage team member payroll, ensuring compliance with company policies and legal regulations.
- Maintain payroll records, including salary changes, deductions, and withholdings.
- Administer team member benefits programs, ensuring accurate contributions and withholdings for health insurance, retirement plans, and other benefits.
- Maintain and update team members paid time off (PTO), vacation, and sick leave records.
- Coordinate with HR to ensure accurate tracking and reporting of PTO balances.
Bill Payment
- Handle various accounts payable functions, including processing invoices, expense reports, and payments to vendors and suppliers.
- Ensure timely and accurate payments while maintaining organized records.
Vendor Management
- __Assist in managing vendor relationships, including communication, contract administration, and resolving issues as they arise.
Financial Reporting
- Generate regular financial reports, such as expense reports and budget tracking, to provide insights to the CEO.
- Generate standing quarterly, monthly, and weekly financial reports.
Meeting Scheduling
- Organize and schedule monthly meetings, ensure availability, and prepare materials as needed.
Team member Reward and Recognition Programs
- Support developing and implementing team member reward and recognition initiatives to foster a positive work environment.
Presentation Responsibilities
- Utilize PowerPoint and Excel to create visually appealing presentations, charts, and reports for the CEO and management team.
