JOB TITLE: Administrative Operations Assistant
POSITION SUMMARY:
We are looking for a responsible Administrative Operations Assistant to perform a mixture of administrative and operational tasks. The Administrative Operations Assistant will be reporting directly to organization owner and Production Supervisor and providing support to the company’s owner, managers and employees, assisting in everyday office and operational needs and managing the company’s general administrative and operational activities. This is an entry level position with opportunities for growth and advancement within the organization.
ROLE OBJECTIVE:
The successful Administrative Operations Assistant will ensure the efficient and smooth day-to-day operations of the organization with professionalism and discretion.
RESPONSIBILITIES:
- Manage day to day operations.
- Manage Accounts Receivable & Accounts Payables.
- Organize and manage files and databases in a classified manner.
- Manage correspondence including emails and phone calls.
- Screen phone calls, redirect calls and receive messages.
- Plan appointments, meetings, and as needed and interface with clients and vendors.
- Receive deliveries; sort and distribute incoming mail.
- Maintain office and order office and factory supplies, ingredients and packaging.
- Receive invoices and review for accuracy. Interface with off site accountants and provide records needed.
- Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
- Greet visitors and direct them to the production team, answer inquiries, and create a welcoming environment.
- Excellent communication and time management skills; proven ability to meet deadlines
- Ability to function well in a high-paced environment; performs additional duties as assigned.
- Manage company protocols and paperwork, SOP’s, SSOP’s; Complete form submissions and collect supporting files for certifications, business applications and maintain all annual permit submissions and payments.
- Use discretion, confidentiality, and good judgment.
SKILLS AND QUALIFICATIONS:
- 1-2 years experience in an administrative role reporting directly to management in a manufacturing setting.
- Flexible team player prepared to do what it takes to get the job done; versatile and enjoys a challenge.
- Proficient computer skills on Mac Computer and All Mac Based Software platforms including: Numbers, Pages, Keynote and Mac Mail.
- Proficient in: Google Suite, bill.com, slack, ERP platform such as FlexiBake.
- Experience taking on tasks such as overseeing budgets and expenses.
- Comfortable with routinely shifting demands.
- A high degree of attention to detail.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Outstanding organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Professional attitude and appearance.
Full time position
$21 - $23 per hour DEPENDS ON EXPERIENCE
