Position: Operations Executive Administrative Assistant
Department: Hollywood Bowl Operations
FLSA Grade: Non-Exempt (Part-Time)
Pay Range: $18.00 - $22.00
Position Summary:
The Operations Executive Administrative Assistant is responsible for providing a broad range of administrative support to the General Manager, Hollywood Bowl.
Position Elements:
Provide a broad range of administrative support to the General Manager Hollywood Bowl, including:
- Coordinate meetings and oversee all arrangements for meetings
- Facilitate written and verbal, internal and external communications
- File, prepare and calculate business expenses
- Provide support for transit and parking data collation/analysis
- Perform general office duties including but not limited to: filing, photocopying, maintaining files and records
- Assist with invoice processing, coding, filing
- Provide research assistance
- Provide PowerPoint support for internal and external presentations
- Provide excel support for internal analysis
- Provide support for neighborhood and community engagement meetings and events
- Other duties and projects as assigned
Reports to: General Manager, Hollywood Bowl
Interacts With:
- Hollywood Bowl staff
- LA Phil staff and execs
- External vendors
Job Requirements
Position Requirements:
- Bachelor’s degree required
- Minimum two year administrative experience in fast paced multi-project-oriented environment
- Business professional (intermediate level) writing and verbal communication skills
- Business professional (intermediate level or above) desktop computing skills particularly Excel and
- Powerpoint but including Microsoft office, etc.
- Demonstrable ability to consistently meet deadlines with high accuracy, attention to detail, and follow-through on all assigned tasks. Must adroitly handle many tasks simultaneously in a competent,organized manner that can be quickly/easily communicated and/or covered by another if absent or unexpectedly unavailable
- Flexibility and willingness to work a variable week day, evening and/or weekend as needed
- Must have reliable access to reliable transportation and good driving record
- Intermediate level understanding of accounting, budgeting, and financial issues
- Broad knowledge and interest in a variety of venue operations, preferred
- Ability to work with outside vendors, sensitive situations, and maintain a high level of confidentiality at all times.
- Demonstrable resilience and ability to handle a fast pace with a positive attitude and sense of humor
