Job Summary
Under the supervision of the Operations Manager and General Manager, you will help with organizing event details and prep work as they relate to our events to ensure all details are accounted for so the client experience is seamless.

You should bring an engaging and positive attitude to work and help clients feel welcome and cared for during their event process. Some of the Duties and Responsibilities would include maintaining contact with clients with the utmost of professionalism.
Responsibilities
OPERATIONS & LOGISTICS
- Meet with contracted clients for event details
- Effectively upsell services to improve guest experience and convenience by understanding their unique needs
- Efficiently respond to all customer inquiries in a polite and timely manner
- Update contracts as requested and ensure client needs have been assessed accurately and communicated.
- Coordinate with decorators, DJs, photographers, etc. and build timelines
- Liase with setup staff and ensure turnovers are completed based on the setup needs of each event
- Ensure menus, payments, paperwork, etc. are all up to date and forwarded to relevant parties in a timely manner
CLIENT & STAFF INTERACTION
- Work closely with Sales Administrative Assistant to ensure seamless event planning experience both internally with the team and externally with clients & 3rd party vendors.
- Be smartly dressed in appropriate attire. Promote a positive and professional manner at all times
- Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, and thank guests with genuine appreciation.
Skills
- Proven experience in events & catering; experience as an event coordinator or in other administrative/catering staff positions will be considered a plus;
- Excellent computer skills (MS Office, Tripleseat Online Sales Platform, AllSeated)
- Marketing & Graphic Design experience using Social media and Canva
- Ability to read, write, and speak English (Spanish is a major plus!)
- Well-organized and responsible with an aptitude in problem-solving
- Excellent verbal and written communication skills
- A team player with high level of dedication
- BSc/BA in business administration or relevant field
- Familiarity with hospitality industry practices preferred
- Familiarity with Events and Sales practices strongly preferred. The position requires somebody who is very well spoken, polite, detail oriented, and self-motivated. Responsibilities would include answering phone calls, scheduling appointments, checking emails, communicating with our caterers/decorators/DJs/etc.
Hours are consistent [30-40 hours/week: 4 - 5 days a week; typically weekends + 2-3 weekdays] which will provide you with a stable income. There is a lot of room for growth at our business, and this is the perfect place to sharpen your skills in the hospitality industry.
