The Administrative Office Assistant is a full time position.
The Administrative Office Assistant performs a wide range of duties and conducts a myriad of office support and administrative functions. The Administrative Assistant reports directly to the Office Manager.
The Administrative Office Assistant is expected to have excellent verbal and written communication skills in English. Must have adequate knowledge in operating a variety of commonly used office equipment and electronic media devices. This person must possess all clerical and administrative skills to successfully perform vital internal tasks. Proficiency in Microsoft Office Suite and typing of 60 words per minute (or better) is required.
The Administrative Office Assistant must have working knowledge of Microsoft Office Suite with emphasis on WORD and EXCEL (Office Suite 2010 or above). More advanced knowledge of QuickBooks Pro Accounting Software (Contractor Edition) and BossLM database software applications can be trained on the job.
Duties and Responsibilities
The scope of the duties and responsibilities are as follows:
- Receive visitors and/or direct telephone calls in a professional and courteous manner
- Answer, screen and forward communication from incoming calls providing basic information as needed
- Communicate with clients and Company personnel pertaining to the needs of customers and services to be provided
- Create client appointment schedules for the Tampa Branch and document Daily Time reporting
- Receive and sort incoming mail and packages. Inventory and maintain office supplies
- Maintain office files, both paper and digital
The ideal candidate will be professional, dependable, possess solid communication skills, organize and multitask under pressure. A high school diploma is required, college a plus. Salary is hourly and commensurate with experience. Office hours are Monday through Friday, 8:30am to 5pm.
