Job Description
Based on our internal equity review process, the starting salary for this position is set at $32.06 per hour.
To allow for growth and salary progression the full hourly range is $32.06 - $43.88. Employees will have the opportunity to move through the posted range based on annual performance reviews and merit increases.

Position Information
Under the direction of an assigned Manager or Supervisor, maintain, setup, train and provide proper oversight of the Customer Relations Software System used by the Department; provide technical assistance related to proper administration and protection of the system, manage input of data, administer and process the financial assistance program; provide reports and trends for program staff; train, supervise and evaluate the performance of assigned staff.

Essential Duties
Support the administration of the registration system software database system and departmental users; including providing initial and on-going systems training and first level help desk interventions for departmental users of the system.
Assist customer service and on-line customers with system related requests and questions.
Manage all data input in Active Net and ePact in coordination with Parks and Recreation operations staff.
Manage data integrity in Active Net by establishing protocols and regular maintenance procedures.
Develop and provide Active Net training for all Parks & Recreation staff
Oversee and maintain department's financial assistance program processing and reporting.
Troubleshoot and analyze software and operational problems experienced by department staff. Research and propose solutions in conjunction with Departmental and District IT help desk and resources. Serve as the departmental liaison with the User Group that addresses common issues with the registration system software. Work with IT to safeguard system integrity by ensuring proper data entry into the Customer Relations Database/Registration Software system.
Follow Employee Performance Evaluation system protocols to supervise, train and evaluate all assigned staff
Assure compliance with District guidelines for database management and financial protocols; work with department Finance Supervisor on procedures for management, control and security of cash.
Prepare reports needed by department personnel. This includes facility use reports, outstanding balance reports, participation reports, etc. created and distributed on a weekly, monthly, quarterly or annual basis. Train program and management staff to pull reports they need to evaluate performance of departmental programs.
Effectively involve customer service and program staff in decision making related to use of the system and quality customer service.
Provide information, assistance and directions to staff in order to maximize benefits of the system; resolve customer complaints and issues related to systems or service. Elevate concerns to Department Manager or IT for resolution.

Minimum Qualifications
EDUCATION & EXPERIENCE:
Three years of related experience using a Customer Relations Management System or other similar experience desired. Database System with at least one year of supervisory experience and/or training desired. Experience with ActiveNet highly desired. An associate's degree in business, accounting or closely related field desired.
LICENSE & OTHER REQUIREMENTS:
  • Valid Washington driver's license with acceptable driving record.

Life Insurance:
Provided at no cost to the employee through Unum, amount is equal to annual salary up to $275,000. Benefits will reduce at age 70.
Retirement Plan: All employees are covered under the Public Employees' Retirement System through the Washington State Department of Retirement Services (DRS).
Medical Coverage and Dental Coverage: Metro Parks Tacoma pays 90% of the total cost of medical/dental coverage for employees and their dependents. Coverage begins the first of the month following the date of employment. Medical coverage is offered through Kaiser. Dental options include Delta Dental Service and Willamette Dental.
Health Care and Day Care Reimbursement Accounts: A benefit plan that allows you to pay for health care or dependent care expenses with "before tax" dollars.
Deferred Compensation (457 plan): Optional employee paid retirement savings plans are available through ICMA,WA State Deferred Comp Program, Empower and Mass Mutual.
Paid Holidays for career employees: New Years Day, Martin Luther King's Birthday, President's Day, Memorial Day, Independence Day, Juneteenth, Labor Day, Veteran's Day, Thanksgiving Day, Day after Thanksgiving, Christmas Day, Two Floating Holidays are granted after successful completion of the 9 month probationary period
Vacation: 8 hours earned monthly.
