- Perform general administrative functions such as management of calendars and email, and provide professional, consistent and reliable support to staff.
- Manage foreign and domestic travel arrangements and process travel-related expense reports.
- Coordinate foreign and domestic visitors, interviewees, seminar speakers and collaborators, to include development of agendas and managing travel arrangements.
- Develop, edit and/or format correspondence, presentations, spreadsheets and other documents.
- Update, maintain and track publications and other product in PNNL’s Information Release system.
- Maintain and manage P-Card, eProcurement, and B2B purchases.
- Act independently and with maturity of judgment and confidentiality in a variety of situations, and take appropriate action when needed.
- Serve as a central resource to all staff by providing guidance on PNNL policies and procedures.
- Create and maintain positive working relationships within the BSD administrative team and across the organization.
- Other tasks or duties that are required in the course of performing the job functions.
- High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
- AA degree or higher and 4 years of relevant experience in an administrative environment
- Experience in planning meetings and coordinating travel
- Demonstrated experience with standard office equipment and Microsoft 365 tools, specifically Word and Outlook.
- Proficiency in coordinating complex calendars and schedules
- Demonstrated ability to independently handle day-to-day administrative processes with attention to detail in a responsive and thorough manner.
- Ability to multi-task, prioritize and organize work under tight deadlines and changing priorities.
- Proficiency in administrative skills, attention to detail, responsiveness, organization, work prioritization and follow-through.
- Excellent written and verbal communication skills.
- Strong interpersonal skills to positively interact and team with a wide variety of staff and sponsors Ability to deal professionally with sensitive and confidential matters and materials using discretion and good judgement.
- Ability to anticipate potential issues and recommend solutions as well as identify opportunities for continuous improvement.
- Experience working effectively in a dynamic, demanding, and sensitive environment.
- Experience partnering with other administrators to provide support to staff and clients
