POSITION DETAILS
The Administrative Coordinator (aHEO) will provide support in the management of the processes and records relating to workload, scheduling, reappointment/promotion/tenure, and in the processing of information related to these duties that flow through Academic Affairs and Faculty Affairs. The successful candidate will report to the Administrative Manager of Academic Affairs. The Administrative Coordinator will be responsible for but not limited to the following duties:
Supports the work of the Dean of Faculty and Senior Vice President and Provost and on divisional projects as needed.
- Manages inquiries received from and communication with faculty and staff for Academic Affairs and Faculty Affairs with specific emphasis on instructional and non-instructional faculty workload processes and record tracking procedures.
- Conducts research on internal processes in order to write reports and deliver presentations on topics such as CUE budget and goals reporting, division assessment, and ongoing tracking of workload balances through the use of organizational databases, platforms, and computing tools.
- Administers theimplementation of college-wide electronic, reporting, and budget platforms and assists in training of faculty and staff in use of these tools as needed.
- Oversees and maintains faculty affairs records and data and public facing internet pages for the division to ensure that correct and complete information is both saved and communicated with regards to the areas of faculty affairs operations, faculty workload, faculty promotion/tenure/reappointment processes, and hiring/recruitment.
- Investigates online and archived divisional data in order to retrieve information needed for recurring work in the areas of department scheduling, faculty workloads, and the distribution of faculty overload and reassigned time.
- Maintains filing systems, creates/revises forms and documentation, and assists in the processing of departmental requisitions, invoices, and authorizations.
- Facilitates the integration of new faculty credentials into learning management systems and course schedules.
- Conducts quality control checks of CUNYfirst, payroll PDFs, payroll lists, and workloads to ensure accurate payment and scheduling of faculty.
- Coordinates, delegates, and oversees the work college assistants and student employees on the faculty Affairs team.
- Assumes additional tasks that may emerge from the work of the division as such tasks arise.
QUALIFICATIONS
Bachelor's Degree required.

- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
- Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
- Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
- Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
- May supervise office staff and student workers.
- Performs related duties as assigned.
