This position is included in a bargaining unit of Housing Works’ New York City employees represented by a labor union known as the Retail Wholesale and Department Store Union (“RWDSU”). Accordingly, the RWDSU has the exclusive right to bargain over the terms and conditions of employment related to this position and this position may become covered by the terms of a collective bargaining agreement (a “CBA”) between Housing Works and the RWDSU
Compensation: $50,000 - $55,000/year Commensurate with experience
Thrift Administrative Coordinator provides administrative support for the Social Enterprises & Thrift Administration. This position provides a range of administrative and office support to ensure the successful operation of Social Enterprise Businesses and Fundraising events, including vendor management. They must work effectively under pressure, adapt well and support change while balancing multiple priorities.
Responsibilities:
- Provide administrative coordination and support for Social Enterprises.
- Accurately maintain filing systems and data integrity in all databases including but not limited to Salesforce, Square, Outlook 365 and Intranet.
- Generate required weekly and monthly reports.
- Utilize and maintain detailed tracking sheets including gathering and synergizing KPI tracking throughout the department.
- Prepare memos and meeting agendas for the Administrative team in support of the Strategic Plan.
- Ensure all deadlines and projects are completed on time and accurately.
- Attend meetings as required to ensure excellent communication with stakeholders and perform accurate notetaking as needed.
- Assist Vice President in preparing necessary materials for meetings, presentations, and Strategic Plan updates across Housing Works.
- Answer all phone and email inquiries according to Housing Works’ Communication Policy.
- Liaise with Store Management to ensure that intranet support tickets placed are followed up with in a timely manner and facilitate communication as needed when delays happen.
- Oversee and manage the vendor invoices, ensuring all invoices are received, correctly coded, and filed. Ensure contractual agreements are upheld.
- Monitor and support vendor relationships, ensuring strong relationships in accordance with our corporate values.
- Work with Finance to ensure that all billing and invoicing is up-to-date and accurate.
- Perform all other duties as directed by supervisor and/or executive management.
- Demonstrating excellent internal and external customer service and communication abilities, and growing this throughout the Administrative team.
- Demonstrate emotional intelligence in communications throughout all levels of the organization, both written and verbal
- High School diploma or the equivalent, Bachelor’s Degree required.
- Proficiency with Microsoft Office required, knowledge of Salesforce and web-based email applications
