Reports to: Senior Director, Court Advocacy & Community Outreach
Salary Range: $50,000
Status: Full Time; Regular; Non-Exempt
Location: Long Island City
Position Summary:
The Administrative Coordinator will be responsible for providing administrative and program support to the Senior Director of Court Advocacy & Community Outreach.
Essential Duties and Responsibilities:
- Responsible for providing administrative support to Senior Director of Court Advocacy & Community Outreach, including but not limited to:
- Writing and typing correspondence, compiling and reviewing reports, filing, copying, and faxing
- Answering telephones and taking accurate messages and provide appropriate referral information as needed
- Ordering office and program supplies; tracking inventory; processing purchase orders, check requests, petty cash and metro cards.
- Organizing/maintaining office environment in an orderly fashion, including updating all binders, program and administrative forms, supplies, metro cards, petty cash, postage, equipment, etc.
- Assisting with the development and implementation of programming special events
- Attending program and agency staff meetings, supervision and in-service trainings; taking minutes, as needed
- Responsible for tracking and reporting on a new housing reentry initiative, Transitional Reentry Housing Project, including but not limited to:
- Tracking housing vacancies at Fortune and at external partners
- Tracking performance indicators to meet contract needs
- Perform data entry into data management systems, and coordinate data entry with subcontractors' data management team
- Reviewing monthly reports from staff for accuracy and completeness
- Compiling monthly reports on outcomes
- Conduct monthly imports / exports of agency and subcontractor data
- Collect and clean data for funder reports
- Participate in internal chart audits
- Assist with revising or drafting program policies and procedures
- Handling coordination and follow-up of all internal and external communication
- Representing the Senior Director at internal and external meetings when necessary
- Assisting with review of quarterly and annual reports
- Taking lead on special projects as assigned by Senior Director
- Maintaining agency archive information in such areas as contracts, program and financial reports
- Taking on additional responsibilities as needed
- Bachelor's degree preferred, preferably in public health, human services, criminal justice, sociology or related field, with a strong background in data management.
- Five years' experience as coordinator, administrative assistant for senior level staff.
- Strong computer skills and a minimum of two years relevant work experience in data entry, admin, or reporting, preferably in a nonprofit social service setting.
- Strong analytic, administrative, and organizational, file management skills: ability to complete work with precision and accuracy.
- Must be able to communicate professionally and effectively both in writing and oral form with a wide range of people both inside and outside of the organization.
- Ability to work effectively with minimum supervision in a fast-paced, high volume office, and appropriately set priorities and exercise independent judgment.
- Strong computer experience, including experience with Microsoft Word, Excel, SharePoint, and Power Point (Access a plus).
- Initiative, creativity, and a high energy level.
- Experience with quality assurance and/or quality improvement.
- Excellent organizational and time management skills, with the ability to work independently and handle multiple priorities.
- Excellent written and verbal communication skills.
- Ability to build relationships with staff members of all levels.
- Interest in or experience with working with individuals with criminal justice involvement.
Travel Requirements - Will require travel to and from our Harlem and LIC offices.
