- Receive, sort, and distribute incoming mail and packages for all SCP locations. Scan and email to recipient when necessary.
- Open unmarked and returned mail as needed to re-route to the appropriate recipient.
- Intake, meter stamp, and arrange pickup for all outgoing mail.
- Prepare overnight packages via Federal Express, UPS, etc. (track packages, if necessary)
- Maintain consistent inventory of company required stationery (letterhead, envelopes, etc.)
- Educate coworkers with information regarding business center operations (mail, FedEx, etc).
- Maintain a working knowledge of office supply inventory; process both, in-house office supply orders and employee office supply requests through designated department processes (daily)
- Replenish business center and office supply stock in shared locations.
- Review and audit department invoices to ensure accuracy as instructed. At the direction of immediate supervisor, communicate cost saving procedures with customers and ensure adherence to company standards.
- Monitor shipping costs and ensure compliance with company’s approval procedures.
- Act as primary contact for mailroom vendor relations (USPS, FedEx, UPS, DHL, etc.).
- Oversee postage operations to include all mailroom equipment, upgrades, and orders for all SCP locations.
- Actively review mailing and package requests to ensure all opportunities for cost effective and efficient shipping methods are used.
- Maintain daily label requests and log of packages received (USPS, FedEx, UPS, DHL, etc.). Distribute packages to the appropriate recipient.
- Maintains the cleanliness of workstation, mailroom, business center and supply storage areas
- Provides assistance to vendors and/or employees in the Business Center
- Intake and execute incoming print requests for meeting materials to include but not limited to the request to print, sort, bind, etc.
- Assist with the packaging and shipment logistics with FedEx options for company projects and employee engagement activities
- Superior skills in customer service both internally and externally; maintains excellent customer relations and develops customer rapport.
- Professionally greet and route guests and vendors appropriately when applicable
- Provides work related services for all employees
- Provides additional support as appropriate to various operational departments.
- Superior Knowledge of SCP internal departments and possess ability to instruct employees where to find necessary information
- A minimum of five-years of applicable secretarial and/or public relations experience. A combination of education/experience may be substituted with education being substituted for by experience on a two for one-year basis
- Microsoft Office Suite Experience entry to mid-level
- Highschool Diploma
