Hiring Part Time, In-Person, Administrative Assistant/Office Manager
Brickel and Associates, LLC, a busy woman owned, private psychotherapy practice in Old Town, Alexandria, is seeking an Onsite, Part-time Administrative Assistant/Office Manager. This person will work directly with the Clinical Director/Owner of the practice to co-manage front and back-end responsibilities. The ideal candidate is professional, organized, extremely detail organized , with a warm friendly demeanor and an interest in or experience with mental health and wellness.
Responsibilities:
- Answer the phone in a professional and friendly manner
- Respond to client voicemails and emails promptly, with documentation
- Prepare/maintain client files
- Update databases, lists, and logs
- File/Maintain client and office files, including EHR
- Prepare correspondence
- Organize the office, including tracking office supplies
- Track client payments and prepare Superbills
- Update and maintain the quality of office forms
- Perform compliance audits
Required Qualifications:
- Minimum of 2 years’ experience as an Administrative Assistant, Office Manager or similar role.
- Proficiency with Microsoft Office, including Outlook, Word and Excel
- Proficiency in working with numbers and accounting principles
- Experience with data entry
- Ability to discreetly handle confidential material following HIPPA guidelines.
- Proven experience as a self-starter, working independently to problem solve and interact appropriately with clients
- High degree of attention to detail
- Availability to be trained one full day on a Saturday
- Completion of required background check
Preferred Qualifications:
- Experience with EHR
- Desire to work 28-30 hours per week
- Ability to work 6:45AM – 2 PM, Monday- Thursday, with flexibility to add more hours, if needed.
- For the ideal candidate, hours can be shifted to later in the morning or a 5-day week, if needed
