This position in the Economic Development department provides administrative assistance and support to management and performs a broad range of administrative functions to include handling department purchases, writing, coordinating and maintaining Council Action and other reports, monitoring the department budget, coordinating meetings, greeting visitors, responding to incoming mail, maintaining calendars and composing written documents and correspondence using independent judgement and initiative.
Education and Experience
- High School diploma or General Educational Development (GED) equivalent is required.
- Three years of experience in administrative support.
Licensing, Certifications and Other Requirements
- Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.
Performs duties and responsibilities commensurate with assigned functional area which may include, but are not limited to, any combination of the following:
- Researches and responds to citizen requests in person or by phone in accordance with City policies and regulations. Composes original correspondence.
- Writes and/or coordinates completion of Council Action Reports for the division/department, compiles division/department tentative agendas for City Council meetings, and other management related reports.
- Maintains documentation, statistical reports and project logs to document work procedures and monitor follow-up.
- May serve or assist as a division/department budget liaison, coordinates department budget preparation, and/or collect data. May administer and monitor budget for related cost centers. May monitor expenditures and advise managers of potential budget problems.
- Follows up on division or department assignments to determine progress or the extent of completion; summarizes and prepares analysis of division/department activities.
- Coordinates meetings, appointments and speaking engagements for the Executive Director, Administrator and/or Director.
- Greets visitors, screens and responds to incoming mail, e-mails, telephone calls, and voice mails for Executive Director, Administrator and/or Director.
- Schedules conference rooms and arranges for press conferences and special management meetings.
- Maintains electronic/engagement calendars and files for executive level management.
- Composes written documents and correspondence with the highest quality requiring independent judgment in handling format, procedure and context.
- Responds to sensitive requests for information that may involve confidential matters.
- Operates a computer and utilizes relevant software applications.
- Lift and carry materials weighing up to 30 pounds.
- Travel to/from meetings and various locations.
- Attend evening meetings as needed.
