DEPARTMENT: Account and Finance
JOB TITLE: Administrative Assistant
HOURS: Monday – Friday 8:00 a.m. to 5:00 p.m. (lunch 12:00 p.m.-1:00 p.m.)
This position is a member of the IUOE Local #150 Clerical
Duties and Responsibilities:
- Primary responsibility is to respond to inquiries from the public both over the phone and in person
- Receive payments
- Create invoices for municipal work performed for outside agencies
- Handling daily mail drop and sorting to proper departments
- Maintain vehicle license database
- Control the office supplies inventory and ordering
- Maintain and prepare all department records for retention and destruction per established rules
- Other duties within the Accounts & Finance Department as assigned
Qualifications:
- High school diploma or equivalent
- 3+ years of clerical experience working in an office setting and/or a municipality dealing with the public
- Ability to remain professional and communicate effectively under adverse conditions
- Proficient in accurate cash handling and the receipt of incoming payments
- General office practices, data processing system, and accounting principles/techniques
- Skilled in MS Office Suite. Knowledge of MSI/Harris software and the ability to speak Spanish are preferred
