To perform the Accounts Receivable function for the District.
To perform general support duties as assigned.
To serve as district receptionist by attending to visitors and dealing with inquiries on the phone and in person.
Job Summary: TAXES
- Maintain all school tax information for the district.
- Manually update all address changes in the Tax Collection system.
- Reconcile and process all tax remittances received from tax collectors.
- Maintain ledger for the eight municipalities.
- Process Interim billing as received from Assessment Office.
- Calculate and remit duplicates to tax collectors for billing.
- Record changes in real estate tax duplicates as received from outside resources.
- Conduct end of year reconciliations and send delinquent taxpayer listing to tax collectors for comparison.
- Complete monthly reconciliation for each municipality per Department of Community and Economic Development guidelines.
- Reconcile all taxes with tax collectors at year-end.
- Record all Tax Collection deposits in accounting system on a daily basis.
- Prepare tax supplies including envelopes, inserts and printing of tax bills and interims.
- Send order for tax bills to printer following board approval of millage rate.
- Prepare information annually for board approval that pertains to exonerations and real estate taxes submitted to Tax Claim Bureau by tax collectors. ?
- Prepare any tax exonerations for Board approval.
- Prepare information annually for auditors pertaining to taxes receivable.
- Provide Business Operations Manager and Accounting Services Manager with reports received from York County Assessment Office relating to valuation changes and assessment appeals.
- Complete monthly update of tax bureau disbursements into delinquent tax records.
- Update and maintain tax ticket logs and records for audit requirements.
- Officiate annual tax collector meeting with District tax collectors, Business Operations Manager, and Accounting Services Manager.
- Ensure District Tax Collectors are in compliance with state and local Tax Collection laws and required deadlines are met.
- Process parcel exonerations and refunds due to tax assessment changes.
- Perform PA Department of Revenue ACT 80 verification of YATB local tax assignments to Spring Grove Area School District.
- Prepare and compile right to know request data as needed.
- Organize all STRIVE volunteers and maintain hours to calculate deductions at the end of the school year.
- Enter cash receipts on a regular basis and maintain files of all general fund and student activity deposits.
- Process all check deposits remotely and maintain check file.
- Create all General Fund and Student Activity Invoices.
- Maintain outstanding invoices file.
- Create collection letters and for all outstanding invoices
- Create collection file to send to District Collection Agency
- Research all chargebacks to General Fund and Student Activity
- Enter all Student invoices into Student Fees in Student Information System when necessary and maintain paid invoices by entering when invoice is paid.
- Make daily or regular bank deposits as required.
EDUCATIONAL SERVICE CENTER RECEPTIONIST
- Serve as receptionist for visitors and incoming calls at the Educational Service Center and maintain the reception area.
- Process visitors through the use of the visitor management system.
- Handle/distribute all incoming USPS mail and district interoffice mail.
OTHER RESPONSIBILITIES
- Update all attendance for out-of-district students in Sapphire.
- Assist Accounting Services Manager with child accounting.
- Assist Accounts Payable as needed.
- Perform such other duties as assigned by the Accounting Services Manager / Director of Business Operations.
Associates degree or equivalent college course work or work experience required; Bachelor's degree preferred.
Knowledge and experience in the operation of office equipment and general office practices.
Must be proficient in using Microsoft Office Suite.
Excellent written and oral communication skills.
Ability to edit for spelling, punctuation and grammar.
Proven ability to write for various audiences and purposes.
Experience in website maintenance preferred.
Ability to work independently and with others.
Ability to handle multiple tasks with accuracy and efficiency with frequent interruptions.
Receipt of current, favorable clearances including: Pennsylvania State Criminal History (Act 34), Federal Criminal History (FBI - Fingerprinting - Act 114), Pennsylvania Child Abuse (Act 151), and Sexual Misconduct and Abuse Disclosures (Act 168).
