Salary Range:$17.00-$17.50 per hour + $500 sign on Bonus

MAJOR DUTIES: The Administrative Assistant position works under the supervision of the Department Supervisor. This position provides assistance and support to patients seeking treatment placement. This position does not provide clinical services to agency patients. In fulfilling these duties, the incumbent performs the following duties independently:

  1. Ensures a safe environment that promotes recovery for patients;
  2. Assist patients as needed with necessary documentation needed for treatment;
  3. Create and maintain staff schedules in the Agency’s EHR.; responsible for daily adjustments, scheduling, and rescheduling;
  4. Will work as part of the agency treatment team;
  5. Alert necessary staff members of what is needed for each patient;
  6. Work as part of the billing unit, functioning as a team to ensure proper services are received by each patient;
  7. Provide advocacy and assist in facilitating access to necessary community resources;
  8. Contact insurance companies for explanation of benefits (if applicable);
  9. Complete data entry of necessary documentation needed for billing;
  10. Maintain complete and up to date files that document all services and contacts provided consistent with the requirements of WAC and agency policy;
  11. Input necessary documentation needed for billing purposes;
  12. Supports and implements agency policies and procedures;
  13. Works as a team member, including coverage of services and helping others as needed to contribute to the overall success of the department;
  14. Maintain privacy of confidential records, correspondence and/or files;
  15. Meet a minimum of one year in the administrative role before moving positions/departments.
  16. Other duties as assigned.

KNOWLEDGE AND SKILLS REQUIRED BY THE POSITION:

  1. High School diploma or equivalent required;
  2. College coursework preferred;
  3. Minimum of one-year experience in a clerical capacity preferred;
  4. Scheduling knowledge preferred.
  5. Great attendance;
  6. Ability to communicate clearly both writing, verbally, and with others to understand and convey information.
  7. Ability to produce accurate reports, forms, data sheets, etc.; working with word processing, spreadsheet, and database software to complete administrative tasks.
  8. Ability to maintain composure when interacting with uncooperative or aggressive people;
  9. Strong ability to multi-task and problem solve; strong organizational and prioritization skills.
  10. Provide excellent customer service
  11. CPR/1st Aid Certification required for residential unit staff members;
  12. Ability to work well with others.

COMPLEXITY

The incumbent provides agency based services to patients in seeking treatment. Strong communication skills, sound judgment, and creativity are required to help implement and deliver support services that meet the complex needs of the patients.

PERSONAL CONTACTS

Contacts are with members of the treatment team, patients, significant others of the patients, administrative, supervisory and clerical personnel, employers, representatives of various community agencies specializing in the treatment of chemical abuse, related community representatives including lawyers, parole officers, and other court officials. All personal contacts are carried out in accordance with federal and state statues, laws and regulations dealing with the confidentiality of alcohol and drug dependent client records.

PHYSICAL DEMANDS

While performing the essential functions of the job, the employee is regularly required to sit, speak clearly, hear and use hands and fingers to manipulate writing utensils and keys on a keyboard. The employee is occasionally required to stand, walk, reach with hands or arms, stoop, kneel, crouch or lift and/or move maximum of 15 lbs.

WORKING ENVIRONMENT

Most working hours are spent indoors in offices or meeting rooms.
