JOB DESCRIPTION
We are looking for a proactive and organized Administrative Assistant with a strong graphic creative eye, and a flair for fashion, hair, and makeup to provide administrative support to the Senior Vice President of Programming Operations. We will rely on the Administrative Assistant to be a team player who can work independently, exercise sound judgment, and take initiative. The Administrative Assistant will have the unique opportunity to contribute to the visual components of our network. Your detail-oriented nature and strong communication skills will allow you to interact with a diverse group of both internal and external stakeholders at all levels within and outside of the organization. Sensitivity to confidential matters is critical to this role. This is a great opportunity for someone who has a good eye for design and a desire to work and learn about the News business.
A SNAPSHOT OF YOUR RESPONSIBILITIES
- Manage an extremely active calendar of appointments for the SVP as well as various departments
- Organize calls, meetings, and procedures, and ensure responsibilities are communicated and understood by all parties involved
- Keep an account of all ongoing projects within the department
- Research, prioritize, and follow up on incoming issues and concerns
- You will prioritize conflicting needs; handle matters expeditiously, and proactively, and follow through on projects to successful completion
- Screen incoming calls; prepare and/or review confidential memos, correspondence, business updates, meeting notes, and PowerPoint presentations
- Help facilitate special events, executive presentations, and company-wide presentations
- Build and maintain filing and tracking systems to organize significant amounts of information
- Handle sensitive or confidential information
- Manage all aspects of business travel and travel agendas for SVP and additional staff members
- Process expense reports promptly
- Detailed note-taking during meetings
- Point of contact to disseminate information amongst various departments and department managers
- On-board photoshoots, wardrobe meetings, and Hair & Makeup trials and training
WHAT YOU WILL NEED
- A bachelor's degree and 0-1 years of relevant work experience is preferred
- A highly organized and detail-oriented nature is essential
- Strong interpersonal, verbal communication, and written skills
- Superior time management skills and the ability to prioritize large workloads and projects
- Ability to take direction with ease
- Ability to interact well with all levels of management, internally and externally
- Critical and creative thinker with a self-starter attitude
- Ability to work under pressure and meet deadlines
- Intermediate to advanced skills in MS Office
- Positive "Can Do" attitude
- Flexibility to adjust workdays to accommodate special events and other business functions

Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience, and location is: $18.25-25.00 per hour for New York City and Westchester County, NY. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
