Administrative Assistant
Reading, PA based non-profit Agency seeks a part-time possible full-time Administrative Assistant to provide high-level administrative support to the Chief Executive Officer (CEO) and Director of HR. This is a permanent position primarily working on-site Monday through Friday daytime hours with occasional evening hours and/or overtime as needed.
Qualifications
- Associate's Degree or equivalent degree preferred. High School Diploma or equivalent required
- Three years minimum prior experience in an advanced administrative or managerial capacity required
- Highly proficient with Microsoft Office products (Microsoft Word, Excel, and PowerPoint), Google applications (Docs, Spreadsheets, etc.), and virtual platforms (Zoom, Google Meets, Microsoft Teams, Webex, etc.) Required
- Excellent written & verbal communication skills Required

Essential functions
- Provide high-level, confidential administrative support and assistance to the CEO and Director of HR
- Email Management - Monitor inbox, draft email correspondence and respond on behalf of the CEO and Director of HR
- Handling Communications - Prepare, draft, proofread and execute accurate business correspondence using excellent communication skills. Act as the first point of contact for verbal, written, and telephone calls to the CEO as directed and other executive staff as requested, then screen, organize and follow up with inquiries
- Scheduling & Calendar Management - Act as an all-around gatekeeper and strategically manage the CEO’s time and other executive staff as requested with respect to priorities, goals, and objectives
- Planning & Executing Meetings - Setting virtual and in-person meetings as directed, then attend meetings to take accurate notes and record and upload accurate minutes
- Project Management - Be an integral part to help execute on a varying range of projects for the CEO and other Executive staff
- Event Planning - Work cross-functionally internally and with external vendors to host events as directed
- Compliance & Quality improvement initiatives - Be an integral part to help execute on a varying range of compliance, quality, regulation, and policy systems
- Set up and maintain a filing system, policy and procedure manuals, etc.
