Job Summary:
This position serves as the first point of contact and customer service lead in the Registrar's Office, and takes an oversight role In managing the day-to-day activities of multiple functions In the Registrar's Office. This position works closely with students, faculty and staff in all facets of the Registrar's Office. In addition, the Administrative Assistant oversees all transcript and verification requests, payment and processing, as well as managing inventory processing.
Duties/Responsibilities:
Serves as first point of contact for Registrar's Office.
Answers phone, manages incoming and outgoing mall, responds lo In-person Inquiries. Manages the Registrar Office's email account, processes and directs all email messages.
Manages transcript processing, mailing, and reporting; responsible for all transcript payment processing; approximately 2,000 transcripts request each year.
Assists with graduation preparation including ordering all graduation materials such as honor cords and diploma cases. Completes enrollment and graduation.
Assists students, advisors, and faculty in troubleshooting registration Issues. Performs bookkeeping and check requests; helps maintain department budget.
Assists with Commencement-related activities including diplomas, diploma covers, and honor cords; assists with distribution at the annual ceremony.
Assists with filing, and ensures that documents and records are properly maintained.
Ensures that all office equipment is maintained; maintains office supply Inventory; places orders for copying and document production from Document and Mail Services Center.
Assists the Registrar and Assistant Registrar with projects and special assignments. May serve on campus committees.
Other duties as assigned.
Required Skills/Abilities:
Demonstrated management, problem solving, administrative, communication oral/written), interpersonal, customer service, and organizational skills required.
Proficient working knowledge of standard Microsoft Office is required.
Education/Experience:
Associate's degree required, Bachelor's degree preferred.
Physical Requirements:
Some lifting of boxes, files. Occasional evening and weekend hours are required for certain events such as commencement and orientations.
