ResponsibilitiesThis is an OPS, 25-hour per week Administrative Assistant to support the Institute of Molecular Biophysics. The role will provide administrative services to the Director, Faculty, and staff members within the Institute to include human resources, purchasing and P-card support, and receptionist duties.
- Maintain the front desk by providing receptionist duties for the Institute. Greet and direct visitors, route incoming calls to the appropriate personnel, handle all incoming and outgoing mail, faxes, and packages. Update mailboxes and building signage as needed.
- Responsible for scheduling conference/seminar rooms.
- Time and Leave representative for the Institute: process all time and leave, check active appointments biweekly for accuracy and process any changes.
- Purchasing representative for the Institute: initiate purchasing for general office supplies for the Institute's administrative and scientific personnel; maintain the office supply stock room.
- Process purchases in Spearmart.
- Maintain daily log of requisition/purchase order.
- P-card Proxy, collect receipts from pcard holders, process receipts in OMNI weekly, process monthly reconciliations.
- Assist the Human Resources representative of the Institute in recruitment, appointments, payroll, and payroll corrections.
- Provide documentation of expenditures to budget managers.
- Assist administrative personnel and faculty as needed.
High school diploma or equivalent and one year of experience. (Note: post-high school education can substitute for experience at the equivalent rate.)
Preferred Qualifications- Experience with Microsoft Word and Excel or equivalent software.
- Basic math skills.
- Customer service experience.
