Position Summary
We are looking for someone who is able to assist with administrative and clerical duties. Flexibility, adaptability and a "CAN-DO" attitude are critical. Sometimes the work is spreadsheets, audits and reconciliations. Other times the work is ordering lunches, scanning and filing invoices or composing and publishing the company newsletter. Still at other times, you will be called upon to plan company socials where you will be charged with ensuring that the events go off without a hitch.
Primary Duties
This individual will utilize basic computer skills, Excel skills, and math skills in the reconciliation of timecards and various invoices. Additionally, they will enter data into our payroll and benefits systems, compose and publish the company newsletter, and perform other duties essential to keeping our small business functioning.
Acting as a link between HR and Finance, the individual will:
- Collect weekly signatures from 120+ employees (by email or in person) and follow up on missed signatures in a timely manner
- Ensure company-wide adherence to our time keeping policy, correct time card errors in TimeClock Manager, and complete large amounts of data entry in SAGE
- Order food for weekly Lunch & Learns and plan other company events as needed
- Update employee records and assist with general HR processes
- Must be very organized with a high attention to detail
Secondary Duties
This person will help answer phones and act as a backup to other departments (Sales, Marketing, Production, IT) as necessary. Working closely with representatives across the firm, they will provide administrative support as needed.
Qualifications
- High School diploma required, AA or AS preferred
- Experience with MS Office Suite (EXCEL, WORD, POWERPOINT, OUTLOOK). Excel and POWERPOINT are critical.
- Positive attitude & a can do spirit
- Superior ability to follow up with all levels of employees from the CEO on down
- Ability to work an 8AM to 5PM schedule, Monday through Friday, regularly
