Justice Law Collaborative, LLC is seeking a Legal Administrative Assistant to help with our growing business in Easton, MA. Join our wonderful legal team and have a great opportunity to learn the mass tort process, and sexual assault cases, while being part of a team of professionals. In order to succeed in this firm, you must have a strong work ethic; possess solid writing and communication skills, exceptional attention to detail, good time management, and be as committed as we are to providing the best service for our clients. You will collaborate with attorneys and other staff in a professional work environment with a casual dress code. Medical, dental and vision plans are offered.
Job responsibilities include answering phones, mailings, scanning, ordering and summarizing records, updating our database and spreadsheets with information from clients, client contact, scheduling, research, assisting with court filings, etc. Much of our work involves representing people injured by drugs and devices and survivors of sexual assault, so it is sensitive but also very rewarding work. No experience in the legal profession necessary, but experience with Microsoft word, excel, Adobe, etc. is important.
```Duties```
Scan and save mail in Case Management System and pass on to lawyer and staff assigned
- Scheduling and calendaring - Intake interviews, witness interviews, depos, mediations, conference calls, etc.
- Manage intake of referrals on online platforms
- Welcome packages – put them together and send to clients
- Follow up on return of Fee Agreements, Authorizations and Medical History Forms
- Request Records once Medical History Form, authorizations and fee agreement are complete and returned
- Scan, bates and save records in Case Management System and notify staff member when ready for review
- Tracking of referrals agreements in Case Management System and on Spreadsheet
- Manage vendors and ensure sufficient supplies – water, printing ink, postage, Verizon, office supplies
- Assistance with editing documents, scanning and outgoing mail
- Assist the team with overflow of record summaries, etc.
```Requirements```
- Proven experience as an Administrative Assistant or similar role
- Familiarity with office equipment and basic office management procedures
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of Google Suite (Docs, Sheets, Slides) is a plus
- Ability to handle sensitive information with confidentiality
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
