JOB SUMMARY:
The Administrative Assistant role is to provide administrative support services to center staff and families served.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Greet visitors and respond to center inquiries regarding enrollment, eligibility requirements and hours of operation
- Enter participant and program services in system databases in a timely manner, ensuring accuracy
- Compile programmatic reports for state and federal reporting requirements.
- Prepare meeting minutes, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software
- Answer the telephone, direct incoming calls and provide accurate messages
- Open, sort, and distribute incoming mail
- Photocopy, fax, scan and collate materials
- Responsible for records management, ensuring documents are filed and up-to-date
- Conduct internal audits, correcting data and client record management deficiencies and errors
- Conduct routine office machine maintenance checks and complete service calls when needed
- Maintain supplies inventory, prepare orders and track deliveries
- Attend trainings relevant to Early Head Start services, maintaining compliance with certifications and regulations
- Prepares and serves daily meals and snacks to each classroom
- Performs other duties as assigned
EDUCATION AND/OR EXPERIENCE:
- High school diploma or equivalent is required
- Minimum of two years of office work experience is required
CERTIFICATES, LICENSES, REGISTRATIONS:
- Must possess a current valid and unrestricted driver’s license and be fully insured according to Maryland law
ADDITIONAL REQUIREMENTS:
- Pre-employment Early Head Start CJIS criminal background investigation required
- Must have a pre-employment physical and tuberculosis screen per Early Head Start guidelines
- Must be fully COVID vaccinated prior to start
