Job Experience:
- 3-4 years work experience in a Secretary/Administrative Assistant role performing similar responsibilities preferred
- Administrative support experience in legal or client-service focused office is highly desired
- Proficiency with managing and maintaining Outlook calendars and arranging meetings among multiple participants
- Enter time for multiple people into timekeeping system
- Answer phones and assist callers, employees, and guests to meet their needs
- Experience with Microsoft Word, Outlook, Excel, PowerPoint, Oracle, STARS and iExpense
- Manage/maintain confidential files and information
- Organize and schedule meetings, conference calls and related logistics (e.g., equipment for presentations, agenda, handouts, reservations, refreshments, etc.)
- Work on multiple projects simultaneously, prioritize and complete projects to meet deadlines
- Willing to take on tasks that are outside normal duties to help the team
- Support for contract administration
- Coordinate travel arrangements (e.g., airline tickets, lodging, transportation, etc.)
- Order and maintain office supplies
- Process expense reports
- Partnership and collaboration with the Facility and Resource Support team
- Contacts office and facility personnel on maintenance requests and performs follow-up until resolution
- Coordinate and assist with various events
- Provide administrative support for Legal Operations Director and team
- All other tasks or duties assigned by Legal Operations Director
Education Requirements:
- High school diploma or GED required
Knowledge, Skills & Abilities:
- Client Customer Service - Ability to interact professionally with (internal and external) executives, management, peer administrative reps and employees across the company
- Efficient - Strong interpersonal skills and ability to work independently and effectively with a high degree of accuracy and timeliness
- Multi-Task - Demonstrate the ability to organize, prioritize and perform multiple activities simultaneously with interruptions
- Prioritize - Possess the ability to determine priorities and meet deadlines with little to no supervision
- Communication - Demonstrate proficiency in both verbal and written communications
- Technology - Demonstrate proficient computer skills in Word, Excel, Outlook, and PowerPoint
- Teamwork-Must be able to work cooperatively with the two other Administrative Assistants to share workload and serve as back-up
This is a hybrid position requiring a set three days per week in-office schedule.
