Administrative Assistant II – Allen Institute for Brain Science

We are seeking an Administrative Assistant to provide a wide range of administrative, organizational, planning, and other support services to our growing Institute team. As an essential member of the team, the Administrative Assistant will anticipate needs, clear obstacles, and identify opportunities to take ownership of tasks and projects.

Essential Functions
- Schedule and manage internal and external meetings and seminars, both in-person and remote
- Coordinate purchasing, expenses and reimbursements
- Organize and maintain filing system, databases and shared network space
- Coordinate domestic and international travel
- Actively drive special projects / ad hoc administrative tasks, as assigned
- Collaborate with the Scientific Operations team on identifying and implementing administrative best practices

Required Education and Experience
- High school diploma or equivalent
- Strong customer communication skills and attention to detail
- Demonstrated ability to maintain confidentiality
- Basic business writing skills and the ability to draft written communications
- Proficient with MS Office applications, including Outlook, Word, Excel, Power Point, Teams, and SharePoint
- Ability to learn new technologies
- Excellent interpersonal and time management skills
Preferred Education and Experience
- Bachelor's degree or equivalent experience
- 1 - 3 years administrative support experience
- Demonstrated ability to improve processes
- Prior experience in a research or health sciences environment
- Experience with Oracle and Concur
Physical Demands
- Fine motor movements in fingers/hands to operate computers and other office equipment
- Frequently required to sit, stand, walk, stoop, kneel, or reach
Position Type/Expected Hours of Work
- This role is currently able to work both remotely and onsite in a hybrid work environment- working at least four days per week onsite. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.

Annualized Salary Range
- $48,100 - $70,550 *
- Final salary depends on required education for the role, experience, and level of skills relevant to the role, along with work location, where applicable.
