Fort Collins Field Office
Ducks Unlimited, Inc., (DU) the leader in wetlands and waterfowl conservation, is seeking an Administrative Assistant for our Fort Collins, Colorado office. This is an exciting opportunity to join a team of conservation professionals furthering DU’s conservation efforts across seven states focusing on Colorado, Wyoming, and Western Nebraska. In this role, you will play a vital part in maintaining the smooth operation of the Fort Collins Field Office while providing support to the conservation team. Additionally, a portion of the job will focus on supporting the Engineering Services team by managing contract documents, processing payment requests, and overseeing procurement activities. This is a part-time position reporting to the Manager of Engineering Services in Fort Collins.
For this position, we are seeking a motivated, collaborative, friendly individual. This part-time position will work with a team to protect, restore, and manage wetlands and associated habitats for North America’s waterfowl, wildlife, and people. To receive benefits, the applicant is required to work 900 hours per year. The ideal candidate would be required to work at least 20 to 30 hours per week. The weekly work schedule would entail dedicating a portion of hours on both Mondays and Wednesdays, with flexibility in scheduling the remaining hours across the other weekdays.
Duties/Responsibilities:
As part of this role, you will be responsible for a diverse set of duties, including but not limited to:
- Welcoming and assisting clients, customers, and visitors to the office, when present.
- Participating in meetings, including assisting in preparation (maps and documents), note taking, and meal orders.
- Handling deliveries and managing postal services (e.g. UPS, FedEx, US Mail, Stamps.com).
- Providing support in organizing special events and preparing presentation materials.
- Typing, editing, and proofreading, as requested.
- Procuring and restocking office, kitchen, and field supplies.
- Occasionally performing data entry and management tasks.
- Utilizing Dynamics 365 for receipt and expense entry for various employees in the office.
- Coordinating automobile fleet/ATV maintenance (e.g., oil changes, tire rotations, detailing, emergency kit, registration, express toll, etc.), including maintaining a spreadsheet.
- Overseeing various business accounts (e.g., printers, cleaning services, storage units, etc.).
- Maintaining and organizing the conference rooms weekly.
- Collaborating with the national IT team in providing support to the office.
- Processing paperwork related to engineering contracts, bonds, insurance, and invoices.
- Managing procurement procedures through a compliance spreadsheet.
- Maintaining organized engineering project files on the local server as well as hard copy files.
- Facilitating signatures using DocuSign to process contractor payments in a timely manner.
- Undertaking additional duties as assigned.

- Proficient in Microsoft Office programs (i.e., Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Ability to prioritize and handle multiple assignments and perform multifaceted office support.
- High school diploma or GED required.
- Valid driver’s license.
Benefits/Pay:
Pay commensurate with experience and education. Typical starting pay ranges from $16/hr. to $22/hr. with a variable compensation incentive program.
