Summary of position

The Administrative Assistant's purpose in the administration department within ACLU of Colorado is to support the Administration team in hiring, onboarding, offboarding, cultural events, office work culture, and other duties in support of the Operations Manager, Budget and Finance contractor, and the Deputy Director. This assistant's work aims to ensure the administrative procedures are running efficiently. The assistant communicates the progress of projects, critically thinks through challenges, and is creative in building up current processes. The Administrative Assistant works with staff across all departments, promptly completing tasks while balancing multiple projects. The successful applicant demonstrates strong interpersonal skills, critical thinking, project management skills, and ability to communicate verbally and in writing.

Primary Responsibilities

  • Provide administrative support to the Director of People and Culture to ensure the hiring process for full-time, part-time interns, and contractors:
    • Manage the outside phone calls and emails regarding hiring
    • Format and maintain the job posting list to track the budget, postings that generate applicants, and research new job boards that bring in a diverse applicant pool.
    • Communicate promptly to applicants about the status of the hiring process and coordinate interview schedules.
    • Coordinate logistics for interviews and prepare materials for the hiring committee to use.
  • Coordinate the onboarding and offboarding schedules and logistics by working with the Operations Manager on tech equipment, office space, and social events.
  • Collaborate with the Operations Manager to sustain a healthy work environment regarding clean common room spaces and office furniture.
  • Coordinate organization-wide staff meetings and social events; communicates details to staff to ensure maximum participation.
  • Oversees the Administration Department's documents so staff can access handouts and assign that each document has the correct viewer permissions.
  • Assists with requests for data privacy from ACLU members, donors, volunteers, etc.
  • Manages the Deputy Director's calendar.
  • Creates and manages agendas for all Administration meetings and any other meetings lead by the Deputy Director or PAC Director.
  • Takes minutes of all Administration meetings.
  • Provides any additional support required by the Deputy Director, Director of People and Culture, and the Operations Manager.
  • Works closely with the Executive Director's Executive Assistant.

Qualifications

  • 3-5 years of experience in Administrative Assistant roles in office setting.
  • Strong writing and verbal communication skills.
  • Proficient in computer skills and willing to learn new online platforms.
  • Experience in working collaboratively with a team on projects.
  • Strong time management skills that prioritize tasks with deadlines.
  • Strong problem-solving and critical thinking skills.
  • Attention to accuracy, detail, and allocation of time to promote productivity.
  • Strong planning, coordination, and organizational skills.
  • Dedicated to carrying out the mission and goals of the American Civil Liberties Union in protecting and furthering civil rights and civil liberties.
  • Willingness to apply the work of Equity, Diversity, Inclusion & Belonging (EDIB) and apply it to the [insert the name of department].

Compensation

This position is full-time. The salary range for this position is $45,000 - $48,000. The starting salary is within the pay scale parameters of the nationwide ACLU and the Denver area nonprofit sector and considering skills and experience. To preserve the opportunity for advancement, we offer starting salaries no higher than the mid-point of the range. ACLU provides cost of living increases and opportunities for merit-based salary increases to staff.
