JOB DESCRIPTION
The Office Administrative Assistant position is critical to the success of our small, family owned flooring company. This position requires a warm, inviting, and trustworthy person who is invested in customer support which is the key responsibility of this position. The job essentials are ensuring customer satisfaction, helping salespeople do their best for our customers, and thorough, accurate performance of administrative duties. Follow-through on delivering what is promised is imperative. Proficiency in computer operations is also essential.
RESPONSIBLITES
Administrative / Front Desk
· Answer main telephone line; screen and direct calls
· Oversee notifications in RFMS
· Provide general administrative and clerical support
· Light bookkeeping and data entry
· Get mail, run errands, bank deposit
· Coordinate meetings and organize catering
· Monitor and maintain office equipment and supplies
· Assistance with A/R-Billing, payments, weekly calls and monthly statements
· Leads intake
· Providing backup and assistance to Operations Administrator as needed
Sales Support
· Respond to online inquiries
· Assist walk-in customers with product knowledge
· Set up estimating appointments for sales associates (Outlook Calendar) and create sales leads (RFMS)
· Order samples and check manufacturer stock
· Maintain showroom and backstock
· Manage QR codes on product samples
· Data entry for map application
· Oversee administration of outgoing correspondence (ie. Newsletter, referral program)
· Prepare product warranty and specification information for customers
· Create and maintain loyal customers through client-friendly service, and referral program
· Assist sales team as needed with client contacts, surveys, events, marketing, and social media postings
· Assist Sales Manager as needed
KNOWLEDGE AND SKILLS REQUIRED
· Excellent phone manner and comfort with multi-line phone system
· Proficient with MS Outlook/Calendar, Word, and Excel
· Must maintain a professional personal appearance
· Comfort learning industry specific computing system (RFMS)
· Must be able to provide, understand, and complete instructions furnished in written, or oral form
· Able to prioritize daily tasks and respond to client communications within 24hrs
· Valid Driver’s License and ability to drive for daily errands to bank, post office, office supplies, etc
· Ability to lift items up to 25 lbs
· Ability to lift items above head to place on shelves and remove from shelves daily/as needed
· Occasionally light labor assisting the team moving stock or samples

EDUCATION AND EXPERIENCE
· Valid state motor vehicle license
· High School diploma
· Front office experience necessary
WORK ENVIRONMENT
· While performing the duties of this job, the employee will be exposed to fumes or airborne particles, unclean spaces, and unsanitary conditions.
PHYSICAL DEMANDS

· The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
TIME COMMITMENT
· Must be available Monday through Friday, plus some weekend & evening dates. Position is 40 hours/week, exempt, with varying hours between 7:00 a.m. and 5:00 p.m.

Pay: $20.00 - $22.00 per hour
