We're looking for a dynamic, friendly, and organized Administrative Assistant for our Contracts and Commissioning Department with exceptional communication skills and the capability to multitask effectively.
The Administrative Assistant is responsible for tasks including:
- Providing administrative support to the construction Contracts and Commissioning Department
- Maintains favorable working relations with clients, contractors, and staff
- Receives, processes, tracks, and distributes all forms of construction and Commissioning related document databases, including submittals and shop drawings, Requests for Information (RFIs), proposals for construction changes (PCO/COR), payment applications, minutes/agendas/schedules/logs, and AIA and CSI formatted templates
- Duties will regularly include maintaining the workload logs for CA/Cx, maintaining the contractor's contact database, drafting/formatting/distributing correspondence, and maintaining templates and forms in the digital library
- Duties will occasionally include permit procurement through local jurisdictions, managing archives, making arrangements for conferences, assisting with company-wide meetings and events, and coordinating incoming and outgoing shipping, deliveries, and mail as it relates to CA/Cx
Required Qualifications:
- Highly organized and capable of discerning priority for the flow of correspondence
- Knowledge of, or willingness to learn, the forms and procedures of the construction industry based in the Construction Standards Institute (CSI), American Institute of Architects (ATA), and other industry standards
- Knowledge of, or willingness to learn, a wide variety of databases used by clients and contractors to manage documents (i.e. - Procore, E-Building, PMWeb, Newforma, etc.)
- Efficient use of Microsoft Word, Excel, etc. to produce professional deliverables
- Preferred - experience with consulting engineer or architectural firms operating in the construction industry
- Two to four years of administrative experience
- High School Diploma
