Highly skilled administrative position providing technical and clerical support for the various functional areas within the Beard Center for Student Success (CSS). As such, the position is expected to conduct a wide range of activities to ensure efficient operations of the CSS and successful achievement of excellent customer service and student support initiatives. As the primary customer service representative for the CSS, this position serves as the first point of contact and requires extensive interactions with CSS staff, faculty, students and the public on a daily basis. As such strong written and verbal communication skills, organizational and interpersonal skills are a necessity.
DUTIES AND RESPONSIBILITIES:
Serves as the first point of contact for the CSS, answering the CSS phone and emails and directing inquiries to the appropriate person or department
Follows up with phone calls, emails, and official written communication
Interfaces with staff, faculty, students, and visitors to the CSS in a professional and confidential manner
Processes procurement card reports for CSS staff
Provides administrative and back-office support to CSS staff including:
Preparing meeting minutes
Assisting success coaches in updating student information in Banner
Drafting student standing letters
Preparing mailings
Other duties as assigned
Assists with the coordination of CSS initiatives and events including reserving rooms, ordering food, printing agendas, etc.
Coordinates the Beta Gamma Sigma Induction Ceremony
Coordinates Commencement activities for the School of Business
Supervises student workers assigned to the CSS
Prepares the common final exam schedule
Maintains shared Outlook calendars
Annually updates documents including curricular overviews and semester schedules for master’s programs
Processes supply requisitions
Oversees organization of work-rooms, storage rooms and maintenance of office equipment
Serves as a back-up to the Student Support Specialist
Performs related duties as assigned by supervisor
Completes other duties as assigned
REQUIREMENTS:
Minimum qualifications:
Associate’s degree from an accredited institution and 3-5 years of administrative experience.
Excellent written and oral communication skills to assure superior customer service and a positive overall impression of the School
Exceptional interpersonal skills; able to interact effectively with diverse constituencies, including faculty, staff, students and the general public
Highly organized and detail-oriented to ensure a high-quality work product
Excels at multi-tasking and able to work with distractions
Experience and training in an office environment, with knowledge, skills and abilities required to perform the essential job functions. This includes demonstrated proficiency with current Microsoft Office Suite: Word, Excel, PowerPoint, Teams, Access, and Publisher as well as Outlook e-mail
Event planning experience
A valid driver’s license in good standing.
Preferred qualifications:
Bachelor’s degree from an accredited institution.
