Office Administrator
Thompson Memorial Presbyterian Church
Purpose: The Administrative Assistant will serve the church as the first point ofcontact for members and visitors by phone, email and in person. This position serves to communicate all information to the congregation and the community through print, web and telephone mediums.
The Administrative Assistant will perform duties supporting the pastors, staff and congregation to ensure that everything runs smoothly in carrying out the ministry of the church.
REPORTS TO: Senior Pastor/Head of Staff
HOURS: Monday to Friday 9-3
Responsibilities
- Cordially answer telephones and receive visitors
- Maintain proficiency in the operation of computer, copiers, phones, and other
office equipment
- Prepare correspondence (letters, reports, minutes, church calendar, promotional
- materials) and any other materials requested by the pastoral & ministry staff, elders,
deacons, and members
- File correspondence, reports, etc. as required
- Carry out bulk mailings as required
- Pick up, sort, and distribute mail
- Assist in keeping common office area neat and organized
- Carry out church-wide communication by preparing the Sunday bulletin, organizing weekly e-news, hosting monthly calendar, developing prayer sheet, etc.
- Assist with creating and printing documentation for events such as baptisms, church membership, wedding, funerals, etc.
- Assist in planning and implementing events
- Gather articles and photos for quarterly newsletter and yearly Annual Report
- Create designs in online design platform (Canva). Post designs on social media, as directed
- Distribute daily scripture text messages
- Update website with current dates, events and sign-ups
- Assist Pastors with scheduling meetings and events, including setting up zoom meetings and sending out meeting reminders
- Collect and compile committee minutes and send docket to the Session monthly
- Carry out yearly stewardship mailing
- Provide support and coordination for all meetings and events
- Build and maintain healthy working relationships with lay leaders and members of the congregation.
- Order and maintain office supplies in support of church staff and associated ministries.
- Assist with organizing staff and events and lunches.

- Maintain confidentiality with all office information.
- Interpersonal skills that enable effective collaboration and interaction with other staff, church members and committees.
- Computer skills with working knowledge of MS Office applications including proficiency in Word, Excel, Publisher and Google Suite
- Efficient and organized with the ability to take initiative
- Ability to take instruction and work under deadlines
- Flexibility
- Education and experience in an office setting, religious setting preferred
This position is hourly and is not eligible for benefits. Vacation and sick time are available, as per the Personnel policy manual.
