Job Description
Educare of Lincoln is a collaborative partnership between the Lincoln Public Schools, and the Buffett Early Childhood Fund. The mission of Educare is to promote school readiness by enhancing the social and cognitive development of children ages O to 5 through the provision of evidence-based education, health, nutritional, social and other services to enrolled children and their families.
The Administrative Assistant I is responsible for answering all incoming phone calls, greeting visitors at the main entrance, entering data, making copies, distributing correspondence, collating informational packets, and assisting with mailings. The Administrative Assistant is also responsible for weekly attendance and private pay billings.
MAJOR RESPONSIBILITIES AND KEYTASKS:
GeneralClerical Support
- Answers incoming calls and questions, directs callers as necessary.
- Greets families and visitors at the main entrance.
- Set up meeting room reservations and maintain meeting calendar.
- Enters data into Child Plus database and create reports as needed.
- Assists with copy requests and fax transmittals.
- Receive mail and sort mail for facility and distributes correspondence.
- Collates informational packets for distribution and mailing.
- Assists with the assembly of materials and mailings.
- Maintain Child Plus database with current family contact information and update as needed.
- Scanning and uploading documents in Child Plus.
Child Attendance
- Reconcile weekly attendance in Child Plus database.
AdministrativeSupport
- Maintain printers and copier paper levels in the staff work room.
- Check inventory as needed.
- Create and maintain classroom and office door labels, mail box labels and call list for site and update as needed.
- Assist with event promotions and parent participation as needed.
- Create and post necessary communication to families, such as school closings, as needed.
- Assist with basic technical support as needed.
- Provide and/or coordinate technological support to agency staff.
- Assist staff to generate Help Desk tickets through Lincoln Public Schools.
- Assist with technology needs for visitors and guest trainers.
Facility Management:
- Coordinate with custodians to assure correct set up for trainings.
Other
- Performs other duties as assigned within the scope of the job description.
QUALIFICATIONS:
- High school diploma and/or equivalent.
- Previous receptionist experience preferred.
- Experience with MS Word, Excel, and willingness to learn other software programs.
- Must be able to pass a background check that meets compliance standards.
ESSENTIAL SKILLS / ABILITIES REQUIRED:
- Ability to answer busy phones with tact and courtesy.
- Ability to cordially greet public, staff and students.
- Above average attendance and prior work record.
- Ability to type and perform data entry with a high degree of accuracy.
- Ability to operate a computer and office equipment, including, but not limited to word processing and spreadsheet software, a telephone, fax machine, and copier.
- Ability to cordially correspond and establish supportive relationships with caseworkers, parent/guardians, staff and students.
