We are a property management company looking to hire an Administrative Assistant to assist in our Dayton office. We are looking to hire a highly organized, self-motivated employee to assist Managers in management of homeowner and condominium associations we represent. Some job responsibilities include substantial interaction with homeowners, tenants, and vendors, and support the department and managers in administrative tasks.
General Purpose:
Responsible for providing administrative and clerical support to Property Management Group.
Duties & Responsibilities:
- Prepare notices, reports, memos, correspondence, proposals, agreements and other professional documents.
- Strong Communication Skills with the ability to work well under pressure and interact with a variety of personalities including residents and vendors on a daily basis through emails and phone calls.
- Assists residents with account balance inquiries/work order request, etc.
- Filing, faxing and other administrative tasks.
- Schedule and organize vendor services and activities in conjunction with the Property Manager, i.e. fire alarm testing, deck staining, painting, etc.
- Organize and prioritize large volumes of information.
- Handle confidential and non-routine information.
- Maintain and keep organized the department materials, property files and databases.
- Ability to utilize various software in creating and sending mass notifications through mailing, e-mails, etc.
- Performs other duties as assigned.
Qualifications/Requirements
- High School diploma or GED.
- Minimum 1-2 yrs. administrative experience - property management experience preferred.
- Must have the ability to handle multiple tasks simultaneously and pay attention to detail. Good organizational skills a MUST!
- Proficient in Word, Excel, Outlook and Publisher. Experience with PDF editing software (Adobe or Nuance/Kofax) and Yardi a plus.
- A self-motivated candidate must have a "team player attitude" and demonstrate an ability to interact and communicate with professional courtesy and tact with residents, staff and contractors at all levels.

Pay: From $19.00 per hour
Expected hours: 40 per week
