Role Purpose
This Los Angeles-based position will provide administrative support to multiple Labor Relations executives working in Los Angeles, New York City, and other locations in the United States.
Responsibilities
- Schedule and coordinate large and small meetings using Microsoft Outlook and maintain related calendar invites and materials
- Handle communications with all levels of internal and external executives in a professional manner
- Create and edit professional documents, including Word correspondence, PowerPoint presentations, and Excel spreadsheets
- Prepare expense reports and check requests
- Organize and maintain file systems, electronic and hard copy, in coordination with others in the department.
- Coordinate and handle occasional travel arrangements
- Support the Labor Relations Department in delivering the departmental objectives
- Use problem-solving skills, initiative, general research, inquiry, and follow-up to execute administrative tasks
- Send form notices to union representatives and others
- Run reports from case management system
- Maintain project ticklers and send reminders to team members on deadlines
- Perform other related duties to support the departmental team as assigned
- Experience in the entertainment industry
- Ability to maintain a high level of confidentiality
- Highly organized
- Detail-oriented with superior verbal and written communication skills
- Proven ability to excel in a high volume, multi-task/deadline-oriented executive office environment
- Strong prioritization abilities and interpersonal skills

Qualifications:
- Bachelor’s Degree or equivalent work experience
- Minimum 2 years’ experience in a similar administrative capacity
- Extremely knowledgeable in Microsoft Word, Excel, Outlook, and PowerPoint, highly skilled
- Must have excellent organizational skills, able to handle interruptions, balance multiple and varied tasks, work under pressure, prioritize, handle confidential information with discretion and work independently
- Strong interpersonal skills including ability to communicate effectively with a variety of internal and external contacts
- Excellent project and time management skills and ability to manage and prioritize changing workloads to meet deadlines.
