The Administrative Assistant is responsible for supporting the head of staff and other staff members in the day-to-day administration of the church office including, but not limited to, the following:
*Acting as the face of Central Steele Creek Presbyterian Church to members and visitors;
*Assisting with the management of the church website, when necessary;
*Coordinating and managing all office functions and activities and facilitating the orderly and efficient flow of the work of the church, and preventing overlap of duties and activities;
*Preparing the weekly announcements for Sunday servide and monthly newsletter;
*Maintaining and distributing accurate and current records of the church, minutes of church teams (Session), and congregational meetings;
*Maintaining the church calendar, church membership records, and mailing lists;
*Serving as the purchasing agent for ordering church supplies;
*Supporting and coordinating the work of the head of staff.
*Picking up and distributing mail;
*Taking care of general office correspondence;
*Assembling all credit card receipts and reconciling credit card invoices;
*Entering all invoices to the accounting system with the proper account designation;
*After review by the Financial Administrator, paying bills, marking all invoices with date paid, check number, and account name;
*Grouping paid invoices for filing by the Financial Administrator;
*Assisting the Financial Administrator with phone calls to vendors, signators of returned checks, and other investigatory chores;
*Entering the Financial Administrator’s monthly report in the church newsletter;
*Segregating memorial and honorary contributions received and placing such in the Counters’ box and acknowledging memorial gifts
*Maintaining absence from work record for all employees;
*Training of office volunteers, as needed for vacation coverage
*Other duties as required and assigned by head of staff.
Qualifications: The Administrative Assistant is expected to be current on the skills needed to efficiently run the church office. This includes computer skills necessary to proficiently use the word processing and other software used by the church. Simple bookkeeping expertise required.
Hours of Employment: The position is part-time (based on 20-24 hours per week, with normal working hours from 8:30-12:30 M-F
Vacation: For the first year of employment vacation is earned at the rate of one half day per month until the end of that calendar year of employment. Beginning on January first after the year of hire, vacation is earned at the rate of two weeks per year. Beginning on January first of the fifth calendar year of employment, vacation is earned at the rate of three weeks per year, which is the maximum vacation per year. The vacation time must be scheduled and approved by the head of staff.
Compensation: The salary will be calculated on an hourly rate and paid twice monthly. This fpart-time position also includes group health insurance (on a 50/50 cost sharing basis), nine paid holidays and paid sick days based on length of continuous employment.
