Administrative Assistant needed to support the U.S. Business Legal Team that provides legal support to all AmTrust North American businesses, including the United States, Bermuda and Canada. The Administrative Assistant will directly assist the seven attorney team, while working with and backing-up Executive Assistant and Paralegals as needed. This is an in-office position.
- Review and prepare template documents and contract amendments
- Prepare various correspondence, including termination letters
- Track tasks, manage updates, review documents, including contract changes
- Administer online matter management and assignment databases
- Facilitate e-signature processing and circulate fully executed documents
- Upload contract documents to appropriate databases
- Update contract documents and bookmark amendments and endorsements
- Retrieve documents and insurance policies from various databases and internal systems
- Handle requests for information and data
- Ad hoc research and clerical projects
- Appointment/meeting scheduling for attorneys
- Attorney calendar management (via Outlook)
- Perform general clerical duties as required
- Other administrative functions as needed
- 3 years minimum of applicable experience required with a primary focus on Administrative Assistant functions.
- Exceptional communication skills, able to manage multiple tasks effectively with frequent interruptions, and able to work productively in a fast paced rapidly growing organization.
- Extensive experience with Microsoft Office applications including Outlook, Word, PowerPoint and Excel. Experience with document and matter management tools a plus.
- Notary public preferred, but not mandatory.
- Strong organizational skills and is detail oriented.
- Must be proactive and able to work independently with good judgment and discretion.
- Able to interface in a friendly and professional manner with internal and external clients.
