Administrative Assistant
Butterfields Candy makes handcrafted hard candy the same way it was done back in 1924 and produces 100% dairy-free, gluten-free, and pure cane sugar-made Candy Buds in Nashville, North Carolina.
Our growing small business is looking for a self-motivated Administrative Assistant to run front and back office operations and assist the Butterfields CEO and President with select Business Planning, Client Relationships, and HR activities:
Position responsibilities:
· Provide telephone coverage for the office as needed.
· Receive and process phone, mail, and online purchase orders, interface with shippers, and maintain shipment lot records.
· Monitor raw material inventories and packaging supplies, place timely material, and supply orders as needed.
· Assist with book-keeping and accounting activities, track and manage accounts payables (AP) and accounts receivables (AR).
· Assist with HR duties: maintain employee files, track time sheets and prepare and manage payroll activities
· Assist in financial planning, cost analysis, and process improvement activities, and maintain accurate expense and revenue information.
· Assist with events and trade show planning and organizing activities
· Follow up on existing customers and event /trade show leads, promote and increase product sales
· Maintain Butterfields Quality, HACCP, Good Manufacturing Practices, and Food Safety process and standards documents, plan and manage yearly certification requirements.

· Willingness to learn and implement Butterfields Quality, HACCP, Good Manufacturing Practices, and Food Safety processes and standards
· Ability to maintain confidentiality on HR and Business information
· Expert level knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and QuickBooks
· Preferred minimum 1 year Administrative Assistant Experience
