The Administrative Assistant will be responsible for welcoming all constituents and guests, supporting others and reporting to the Operations Manager. The Administrative Assistant will be responsible for all critical front office functions including, but not limited to:
Reception Duties
- Greet clients and on-site visitors in a friendly and respectful manner, determine the nature of their business, and announce guests to the appropriate personnel.
- Answer inquiries about the organization and provide callers with relevant information.
- Prepares, processes, delivers, and picks up mail.
- Ordering and organization of office supplies.
- Assist the team by keeping the high traffic areas of the office clean, removing trash, sweeping/vacuuming as needed.
Office Administration
- Assist staff navigation of office equipment, IT resources or liaison with 3rd party vendors.
- Maintain all office equipment, service contracts and handle any service issues.
- Perform basic clerical tasks such as making copies, scanning, and saving documents to electronic files, filing, supporting major mailings, sending faxes, etc. as requested.
- Assist with data entry of historical records into database.
- Manage special administrative projects and overflow work from the department(s).
- Printing flyers, sending electronic newsletters, mailers, data entry, putting together information packets.
You possess the following REQUIRED skills:
- Excellent written and verbal communication abilities and interpersonal skills
- Database experience
- High school diploma or a bachelor's degree in business, administration, or a related field
- 2 or more years' office administration experience preferred, but not required
- Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and M365)
- Ability to understand and resolve technical problems independently
- Strong attention to detail and very organized
- Ability to conduct research on assigned tasks with minimum supervision and provide feedback promptly
- Ability to meet deadlines and support staff
- Comfortable handling confidential information
- Ability to lift 50 lbs
- Commitment to excellent customer service
