Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, take messages, and respond to inquiries
- Greet and assist visitors, ensuring a positive and professional experience
- Maintain office supplies inventory and place orders when necessary
- Coordinate and schedule appointments, meetings, and travel arrangements for staff
- Prepare and distribute correspondence, memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system, both electronic and physical
- Perform data entry and update databases as needed
- Assist in organizing and coordinating office events and meetings
Experience:
- Proven experience as an Administrative Assistant or relevant role
- Knowledge of office management systems and procedures
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
- Experience working in a medical or dental office is a plus
- Familiarity with QuickBooks or other accounting software is a plus
- Excellent phone etiquette and customer service skills
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and problem-solving skills
