SUMMARY: Assists the managers and supervisors in the performance of their
duties. Assists in ordering parts needed for scheduled repair orders. Answers incoming calls and directs them to the appropriate person/department to achieve excellent customer service. Greets customers and
provides information as requested.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Reviews repair orders and records type and scope of service to be performed.
Maintains customer files.
- Updates maintenance manuals, bulletins, and other technical data from
manufacturers and distributors.
- Prepares estimates, memos and letters as directed.
- Answers phones promptly and courteously. Greets customers quickly and fosters positive customer relations.
- Secures credit authorization when necessary.
- Assists with warranty duties, explains process to mechanics and helps warranty clerk as needed.
- Keeps records of repairs and installation, and hours required on each job.
- Files all technician time on all non-warranty repair orders.
- Opens and closes out all non-warranty repair orders.
- Performs general office duties, i.e. filing, typing, faxing, etc.
- Ability to operate and understand various PC based programs and invoicing system.
- Monitors and orders office supplies.
- Ability to multi-task under pressure.

QUALIFICATIONS AND POSITION REQUIREMENTS: The individual must be

- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of organization.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply concepts of basic algebra and geometry.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Education and/or Experience: One-year certificate from college or technical school; or three to six months’ related experience and/or training; or equivalent combination of education and experience.
CERTIFICATES, LICENCES and REGISTRATIONS: Valid Driver’s License and clean driving record.
PHYSICAL DEMANDS: While performing the duties of this job the employee is regularly required to sit; use hands to handle or feel objects or controls; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand; walk; and stoop, kneel, crouch, or crawl. The employee is occasionally required to lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
