Administrative Assistant

Position Overview: The Alliance for Clean Energy New York (ACE NY) seeks an Administrative Assistant to coordinate the day-to-day office activities. We are a hybrid office (remote on Monday and Friday, in office on Tuesday, Wednesday, Thursday). This position can be either full-time or part-time (20-40 hours per week).
The ACE NY Administrative Assistant will have the following duties and responsibilities:
- Accurately track all expenditures of the organization and communicate with the consulting bookkeeper;
- Ensure payments are properly submitted and incoming checks are deposited in a timely basis;
- Handle and process all incoming and outgoing mail, payments, and deliveries;
- Accurately reconcile monthly credit card statements with staff expenditure reports;
- Assist with invoicing and tracking of annual dues payments, company contributions toward projects, and grants;
- Prepare budget reports and other materials for Board Meetings;
- Assist with bimonthly and semi-annual reports to the NYS Ethics Commission;
- Schedule meetings and assist with travel arrangements;
- Maintain office supplies and interact with vendors;
- Organize office operations and procedures;
- Assist other ACE NY staff with event planning;
- Serve as liaison to IT consultant;
- Assist with on-boarding process for new staff members;
- Other office management tasks as necessary.
Qualifications: Strong candidates will have 3-5 years of experience in general office administration, ideally with experience in financial management, human resources, and/or not-for-profit management. Candidates should have expertise with Microsoft Office Suite (Word, Excel, Outlook, Teams), be mature, responsible, and professional, and be able to juggle a variety of tasks. Experience with Mailchimp and/or Fyle would be ideal. An interest in the mission of ACE NY would be a plus.
Salary range: $20/hour - $28/hour, commensurate with level of experience
