Job Description:
- Greet and welcome visitors and clients, ensuring a positive and professional first impression (very low volume of visitors).
- Manage and maintain the reception area, ensuring it is clean and organized.
- Answer and direct incoming phone calls to the appropriate staff members (very low volume).
- Maintain an organized and efficient office environment, managing supplies and equipment as needed.
- Manage office supplies inventory, place orders, and ensure necessary items are always stocked.
- Handle incoming and outgoing mail and packages, including sorting, distributing, and preparing shipments.
- Provide administrative support including meeting preparation and file management.
- Assist in the coordination of office activities and schedule maintenance as needed.
- Assist in scheduling appointments and meetings, coordinating calendars to optimize efficiency.
- Coordinate travel arrangements and accommodation for staff members as required.
- Organize and file documents, ensuring they are appropriately labeled and easily retrievable.
- Assist in organizing company events, meetings, and conferences, including logistics, materials preparation, and setup.
- Help with data entry tasks, updating spreadsheets and databases as required.
- Review and respond to emails, forwarding important messages to relevant parties.
- Maintain and update paper and electronic filing systems, ensuring documents are organized and easily accessible.
- Help manage office facilities and equipment, reporting any maintenance or repair needs promptly.
- Provide general administrative support to various departments as needed.
