This is not your ordinary administrative role – we are looking for a dynamic and proactive candidate to be our Administrative Extraordinaire, handling a wide variety of crucial tasks. This is an exciting opportunity for a detail-oriented and organized individual to gain exposure to Compliance, Recruiting, and Office Management at a fast-moving startup in the Financial Services industry. In this position, you’ll be a Swiss Army knife, switching from conducting time-sensitive background checks on our incoming clients, to being the go-to office manager, to playing a meaningful role in front-line recruiting efforts. You’ll report to the Human Resources Manager, gaining meaningful experience in day-to-day People Operations. This is a full-time 40 hours/week, in-office position located on downtown Las Olas Boulevard.
Duties/Responsibilities:
Legal & Compliance (40%): 15-20 hours/week (3-4 hours/day)
- Conduct daily background checks on prospective clients, both individual and company
- Pull individual soft credit report and conduct NMLS ID search for individual and company
- Create Lending Pad accounts and give credentials
- Interact with Account Executives and Applicants to receive documents, distribute credentials, send approval letters, and answer questions
- Organize accounts with Salesforce
HR & Talent Acquisition (35%): 10-15 hours/week (2-3 hours/day)
- Screen applications and select qualified candidates
- Candidate pipeline management: Assist with recruitment and interview process. Track status of candidates and follows-up. Schedule interviews and prepare interview materials
- Assist with employee onboarding tasks
- Perform customer service functions by answering employee requests and questions.
- Dependent on interest, conduct first-round interviews and engage in active outreach on LinkedIn
- Support to the Human Resources function as needed; special projects as assigned
Office Management (25%): 5-10 hours/week (1-2 hours/day)
- Daily office management; coffee machine guru, dishwasher upkeep, supplies, and organization
- Communicate and coordinate with building management and external vendors when needed
- Send Birthday e-Cards to employees, order monthly lunches for office
- Assist with occasional culture building and team events; supports Marketing with in-office client events
- Merchandise ordering and inventory management, including equipment shipping and tracking
- Welcomes guests and distributes incoming mail
- Performs other related duties as assigned

Education and Experience:
- Bachelor's degree preferred
- Prior office experience preferred
