Overview:
We are seeking a highly organized and detail-oriented Construction Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day functioning. The ideal candidate will thrive in fast-paced environments with multiple deadlines and deliverables, a self-starter who has a knack for implementing order and processes, have excellent communication skills (verbal and written), strong computer literacy, possesses an eye for detail and the ability to multitask effectively.
**This is a fully on-site role. Hybrid/remote work is not available**
Responsibilities:
- Perform general administrative tasks such as answering phone calls, responding to emails and managing correspondence
- Maintain organization and inventory of office supplies
- Assist and manage calendars as necessary
- Assist with various data entry and record keeping
- Create and maintain reports and spreadsheets
- Help prepare payroll, reports as required
- Operate and maintain office equipment, including mailing system, printers, copiers and fax machines
- Create and maintain filing systems for departments as needed such as owner billing, releases, owner contracts, employee files
- Assist with archiving closed jobs
- Prepare Certified Mail and FedEx requests
- Assist with Preliminary Notice requests as needed for projects
- Prepare folders and binders for field and Project Management teams
- Assist with printing and scanning hardcopies of; RFI submittals, owner billing details, close out requests, etc.
- Assist with the coordination of small office events
- Assist with special projects within different departments
- Provide support to other team members as needed
- Persistent in follow-through with all tasks assigned
Experience:
- Previous experience in an administrative role is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with computerized systems such as QuickBooks
- Knowledge of Construction/Union procedures is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in all work
- Ability to work well under pressure and navigate multiple deadlines
- Proactive approach to problem-solving and process improvement
- Ability to work well independently and in collaboration with others
Job Type: Part-time
Pay: $21.00 - $25.00 per hour
Expected hours: 16 – 30 per week
