The Administrative Assistant is responsible for handling general office tasks and must possess: strong attention to detail, knowledge of Microsoft Office products, ability to support and take direction from multiple DMS managers, and a team-first attitude to support day-to-day office functions and handle various administrative needs of our staff. Work is performed in our Westlake office although working off-site from home is permitted on occasion.
Requirements:- Monitor and maintain Outlook Inboxes & calendars of the Chief Operations Officer and Chief Onboarding Officer
- Review and assist with assigning and moving tasks in client workflow system
- Assist with creating, editing, sending, and following up on new client contracts
- Review and approve staff time in external time-tracking system
- Maintain and monitor 3-week projection of staff availability
- Serve as primary organizer for monthly team meetings (create agenda, set up room, food, technology)
- Coordinate and participate in meetings with clients & prospects; take detailed concise notes when necessary Track prospective clients, associated tasks and new business in ABLE CRM
- Perform client billable tasks as requested
- Record payments and make bank deposits
- Handle other administrative, documentation, and clerical tasks as necessary
Qualifications
- Associates Degree required, Bachelors Degree preferred
- 3+ years of administrative and office management experience
- Efficiency in Microsoft Office Suite
- Strong organizational skills
- Excellent verbal and written communication skills
- QuickBooks experience is a plus, but not required
