Job Summary:
We are seeking a dynamic and self-motivated individual to join our team as a part-time Administrative Assistant. This position plays a crucial role in supporting the day-to-day administrative tasks of our company. The ideal candidate is detail-oriented, organized, and possesses strong communication skills. The Administrative Assistant will work closely with various team members and departments to ensure efficient operations and excellent customer service.
Responsibilities:
1. Perform general administrative duties, including answering phone calls, maintaining supplies, mailing and shipping.
2. Organize and schedule meetings, appointments, and calendar for the management team.
3. Create and maintain accurate and up-to-date filing systems, both physical and digital, to ensure easy retrieval of documents.
4. Assist in preparing documents, memos, presentations, and other reports as assigned by the management team.
5. Coordinate and manage calendars, ensuring timely and efficient scheduling of appointments and meetings.
6. Assist in managing office budgets and expense reports, ensuring accuracy and adherence to company policies.
7. Assist with event planning and coordination, including arranging logistics, sending invitations, and managing RSVPs.
8. Collaborate with other team members to plan and execute special projects or events as assigned.
9. Provide exceptional customer service to clients, vendors, and visitors, ensuring a professional and friendly experience.
Requirements:
1. High school diploma or equivalent; relevant certifications or additional education is a plus. DD214 a real plus.
2. Desire to learn and grow.
3. Strong proficiency in MS Office applications (Word, Excel, PowerPoint) and other relevant software.
4. Excellent written and verbal communication skills, with exceptional attention to detail.
5. Outstanding organizational and time management abilities, with the ability to prioritize tasks effectively.
6. Ability to multitask and work efficiently in a fast-paced environment, meeting deadlines without compromising quality.
7. Exceptional customer service skills, with a professional and approachable demeanor.
8. Strong problem-solving skills and the ability to adapt to changing priorities.
9. Knowledge of basic office equipment and procedures.
10. Ability to maintain confidentiality and handle sensitive information with discretion.
Working Hours: Mornings but flexible. 16-24 hours per week.
